Privacy Policy
This Privacy Policy describes how FieldMint ("FieldMint," "we," "us," or "our") collects, uses, and shares information when you visit fieldmint.ai, use the FieldMint web application at app.fieldmint.ai, or otherwise interact with our services (collectively, the "Services").
By using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services.
1. Who this policy applies to
FieldMint is a business-to-business platform. We process information about:
- Account holders and team members — people who register, log in, or are invited to an organization workspace.
- Customer portal users — your customers who access proposals, payments, or documents you share through FieldMint.
- Website visitors — people who browse our marketing site or book a demo.
When you use FieldMint on behalf of a company, that organization is responsible for its own privacy notices to its customers and employees. This policy explains FieldMint's practices as the platform provider.
2. Information we collect
Information you provide
- Account details such as name, email address, phone number, job title, and password (stored securely).
- Organization profile, branding, and configuration you enter in the product.
- Operational data you upload or create: customers, contacts, proposals, jobs, schedules, contracts, invoices, notes, files, and messages sent through the platform.
- Support requests and communications with our team.
Information collected automatically
- Device and browser type, IP address, approximate location derived from IP, and log data.
- Usage events such as pages viewed, features used, and error diagnostics.
- Cookies and similar technologies on our marketing site and app (see Section 8).
Information from third parties
- Payment processors — when you or your customers pay through Stripe, Stripe processes card and billing data under its own privacy policy. We receive transaction status, amounts, and limited billing metadata—not full card numbers.
- Integrations you connect — for example QuickBooks Online, email providers, calendar or messaging tools. We access only the data scopes you authorize and that the integration requires to operate.
- Authentication providers — if you sign in with a supported identity provider, we receive profile information permitted by that provider.
3. How we use information
We use information to:
- Provide, maintain, and improve the Services.
- Authenticate users, enforce access controls, and protect against fraud and abuse.
- Process subscriptions, trials, and usage-based billing for your organization.
- Enable features you configure, including customer portal access, notifications, and accounting sync.
- Respond to support requests and communicate about product updates or security notices.
- Comply with law, resolve disputes, and enforce our agreements.
- Analyze aggregated or de-identified usage to understand performance and plan product improvements (we do not sell personal information).
4. QuickBooks Online and other integrations
If your organization connects QuickBooks Online, FieldMint accesses Intuit account data only after an authorized administrator completes OAuth consent. Depending on your settings, this may include company profile information, customers, items, invoices, payments, deposits, accounts, and related accounting records needed to sync financial data between FieldMint and QuickBooks.
We use QuickBooks data solely to:
- Display and reconcile accounting-related information in your workspace.
- Create or update records you explicitly map or trigger through product workflows.
- Troubleshoot sync errors and maintain integration reliability.
You can disconnect QuickBooks at any time from your FieldMint integration settings. Disconnecting stops new sync activity; data already stored in your workspace remains until you delete it or close your account, subject to your retention choices and our data deletion practices.
Intuit's use of data is also governed by Intuit's privacy statements.
5. How we share information
We do not sell personal information. We may share information with:
- Service providers who help us host infrastructure, send email, process payments, provide analytics, or operate support tools—bound by contractual confidentiality and security obligations. Our core application runs on Supabase (database, authentication, and serverless functions) and is deployed on modern cloud hosting.
- Integration partners you enable (such as Stripe or Intuit) according to the permissions you grant.
- Other users in your organization according to roles and permissions your administrators configure.
- Legal and safety when required by law, court order, or to protect rights, safety, and security of FieldMint, our users, or the public.
- Business transfers in connection with a merger, acquisition, or asset sale, with notice where required by law.
6. Data retention
We retain information for as long as your organization maintains an active account and as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of certain data subject to applicable law and technical constraints; some logs and backups may persist for a limited period.
7. Security
We use administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, and organization-scoped data isolation in our multi-tenant architecture. No method of transmission or storage is completely secure; please use strong passwords and limit access within your team.
8. Cookies and similar technologies
Our marketing site and application may use cookies, local storage, and similar technologies for authentication, session management, preferences, and analytics. You can control cookies through your browser settings; disabling certain cookies may limit functionality.
9. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. Organization administrators can manage many team-member settings directly in the product. To exercise rights related to FieldMint's processing, contact us at privacy@fieldmint.ai. We may need to verify your identity and coordinate with your organization if you are an end user of a customer workspace.
If you are a customer of one of our business users (for example, you use a customer portal link they sent you), please contact that business directly for requests about how they use your data; we process portal data on their instructions as a service provider.
10. International users
FieldMint is operated from the United States. If you access the Services from other regions, your information may be transferred to and processed in the United States and other countries where our providers operate, which may have different data protection laws than your home country.
11. Children
The Services are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the effective date. Material changes may be communicated through the product or by email where appropriate.
